This Privacy Policy explains how PolaCat ("PolaCat," "we," "us," or "our") collects, uses, discloses, and protects personal information when you visit polacat.com, place an order, contact us, or otherwise use our online store. PolaCat is the controller of the information described in this policy. Privacy questions and requests may be sent to orders@polacat.com.
1. Information we collect
- Checkout and order information: your name, email address, telephone number, billing and shipping addresses, products, quantities, coupon use, order notes, delivery selections, order status, and refund history.
- Payment information: PayPal processes your payment. We receive limited transaction information such as the payer name and email, transaction identifier, amount, currency, and payment status. PolaCat does not receive or store your PayPal password or complete card number.
- Communications: messages, attachments, order number, and other information you provide when requesting support, replying to an order email, reporting a delivery issue, or exercising a privacy right.
- Device and usage information: IP address, browser and device type, operating system, referring page, pages requested, timestamps, language preference, cookie identifiers, and server or security logs.
2. How we collect information
We collect information directly from you at checkout or when you contact us; automatically through necessary cookies, server logs, and similar technologies; and from service providers involved in your transaction, such as PayPal and delivery carriers.
3. Why we use information
We use personal information to operate the cart and guest checkout, process and verify payments, prevent fraud, accept or cancel orders, deliver products, send order and shipping notifications, provide support, process returns and refunds, maintain accounting and tax records, secure and troubleshoot the site, enforce our terms, and comply with law. Where applicable, these activities rely on performance of a contract, compliance with a legal obligation, our legitimate interests in operating and protecting the store, or your consent.
We use the Google tag configured through Google Site Kit to measure visits and interactions, understand store performance, and improve navigation. Google may receive device and usage information and use analytics identifiers for this purpose. Depending on applicable law, this processing relies on consent or our legitimate interest in understanding and improving the store. We do not use this information for targeted advertising.
4. Cookies and similar technologies
The store uses cookies and local storage that are necessary to remember cart contents, maintain a checkout session, prevent abuse, and remember the selected language. The Google tag configured through Site Kit may use analytics cookies or identifiers to measure visits and interactions; these are not required to place an order. PayPal may set or read its own cookies when its checkout components are displayed or when you visit PayPal. You can block or delete cookies in your browser, although blocking necessary cookies may prevent the cart or checkout from working correctly. 5. When we disclose information
We disclose only the information reasonably needed for the relevant purpose to:
- PayPal for payment processing, fraud screening, disputes, and refunds;
- Google, through the Google tag and Site Kit configuration for site measurement, analytics, and tag delivery;
- Amazon Web Services, including Amazon SES for website infrastructure and transactional email delivery;
- postal, courier, warehouse, and fulfillment providers for packing, shipping, tracking, customs, and delivery;
- professional advisers and authorities when reasonably necessary for accounting, tax, insurance, legal claims, fraud prevention, safety, or compliance with a lawful request; and
- a successor to the business in a merger, financing, reorganization, or sale, subject to appropriate confidentiality and legal safeguards.
We do not sell or rent personal information.
6. International transfers
Our store and service providers may process information in countries other than your own, including Japan and the United States. Privacy laws may differ in those locations. Where required, we use contractual or other lawful safeguards and limit transfers to what is necessary for the services described above.
7. Retention
We keep information only for as long as reasonably necessary for the purposes above, taking into account warranty and return periods, tax and accounting duties, fraud prevention, disputes, and legal claims. Order, payment-status, refund, and tax records are generally kept for the period required by applicable law, commonly up to seven years. Support correspondence is normally kept for up to two years after the matter closes, and routine technical or security logs are normally kept for up to 90 days, unless an incident or legal obligation requires longer retention. Information is then deleted, anonymized, or securely isolated.
8. Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information, including HTTPS, access controls, updates, backups, and restricted administrative access. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.
9. Your choices and rights
Depending on where you live, you may have the right to request access to, correction of, deletion of, restriction of, or a portable copy of your personal information; object to certain processing; withdraw consent; and complain to your local data protection authority. You may also ask us not to use your information for direct marketing. We may need to verify your identity and may retain information where the law or an unresolved transaction requires it. 10. Children's privacy
The store is not directed to children under 16, and we do not knowingly collect their personal information. If you believe a child has provided information without appropriate permission, contact us so that we can review and delete it where required.
11. Third-party sites
Links to PayPal, carriers, manufacturers, or other third-party sites are governed by those parties' own terms and privacy notices. We are not responsible for their independent practices.
12. Changes and contact
We may update this policy when our services or legal obligations change. The revised version will be posted here with a new effective date; material changes will be highlighted when reasonably required. Questions, complaints, and privacy requests may be sent to orders@polacat.com.
This policy is available in English, Simplified Chinese, Traditional Chinese, and Japanese. If translations differ, the English version controls to the extent permitted by applicable law.
